Answer Management
View, export, and analyze form submissions with powerful management tools
Viewing Answers
All submissions for a template can be accessed from the Answers tab:
- Navigate to your template
- Click the "Answers" tab
- View all submissions in a table
The answers table shows:
- Submission date and time
- Submitter information (if collected)
- Preview of responses
- Quick actions menu
Viewing Answer Details
To see the full details of a submission:
- Click any row in the answers table
- A detail panel opens showing all fields and values
- View submission metadata (date, IP address, etc.)
- Download as PDF or delete the submission
Searching and Filtering
Search
Use the search box to find specific submissions:
- Search across all answer fields
- Case-insensitive matching
- Real-time filtering as you type
Sorting
Click column headers to sort by:
- Submission date (newest or oldest first)
- Submitter name
- Any custom field
Pagination
For forms with many submissions:
- Choose items per page (10, 25, 50, or 100)
- Navigate between pages
- See total submission count
Exporting Data
Export to CSV
Export submissions to a CSV file for analysis in spreadsheet software:
- Click "Export All" or select specific submissions
- Choose fields to include
- Configure date format
- Download the CSV file
Use CSV exports for:
- Data analysis in Excel or Google Sheets
- Importing to other systems
- Creating reports and charts
- Backup and archival
💡Excel compatibility
CSV files can be opened directly in Microsoft Excel, Google Sheets, or Numbers. Choose "UTF-8" encoding if you have international characters.
PDF Generation
Single PDF
Generate a filled PDF for any submission:
- Open the submission details
- Click "Download PDF"
- FillFlow generates a PDF with all answers filled in
- The PDF is downloaded to your device
ℹ️PDF templates
PDFs are generated from the original template PDF if you uploaded one. For manually created templates, a structured document is generated.
Bulk PDF Generation
Generate PDFs for multiple submissions at once:
- Select submissions using checkboxes
- Click "Download PDFs" in the bulk actions toolbar
- FillFlow generates all PDFs
- A ZIP file containing all PDFs is downloaded
Use bulk PDFs for:
- Processing multiple applications
- Printing physical copies
- Archiving submissions
- Sending to team members
Importing Data
You can import submissions from CSV files:
Import Process
- Click "Import Answers"
- Upload your CSV file
- FillFlow shows a preview of the data
- Map CSV columns to form fields
- Review the mapping
- Click "Import" to add submissions
CSV Format Requirements
- First row should contain column headers
- One submission per row
- Date fields should use YYYY-MM-DD format
- Email fields should contain valid email addresses
- Multiple values for checkboxes separated by commas
💡Export as template
Export existing submissions to CSV to see the correct format, then use that as a template for importing new data.

Bulk Actions
Perform actions on multiple submissions at once:
Selecting Submissions
- Check individual boxes to select specific submissions
- Use the header checkbox to select all on current page
- Selected count shows in the bulk actions toolbar
Available Bulk Actions
- Export Selected: Create CSV of selected items
- Download PDFs: Generate ZIP of PDFs
- Delete Selected: Remove multiple submissions
⚠️Bulk delete
Deleting submissions is permanent and cannot be undone. Export important data before deleting.
Deleting Answers
Delete Single Submission
- Open the submission details
- Click "Delete"
- Confirm the deletion
Delete Multiple Submissions
- Select submissions using checkboxes
- Click "Delete Selected" in bulk actions
- Confirm the deletion
⚠️Important
Deleted submissions cannot be recovered. Always export data before deleting if you might need it later.
Best Practices
Regular Review
- Check submissions at least daily for active forms
- Respond to submissions promptly
- Archive old submissions regularly
Data Backup
- Export data regularly as backup
- Store exports in a safe location
- Keep exports for compliance requirements
Organization
- Use descriptive template names
- Archive completed campaigns
- Delete test submissions before going live
- Export before making major template changes
Privacy and Security
- Only export data you need
- Protect exported files (they contain sensitive data)
- Delete submissions when no longer needed
- Follow data protection regulations (GDPR, CCPA, etc.)
Submission Metadata
Each submission includes metadata:
- Submission Date: When the form was submitted
- Submitter: Name or identifier (if collected)
- IP Address: Submitter's IP (for security)
- User Agent: Browser and device information
ℹ️Privacy compliance
IP addresses and user agents are collected for security and fraud prevention. Include this in your privacy policy.
